Upwork manual time vs tracked time: what Hourly Payment Protection actually covers

The practical difference between manual time and tracked time is evidence. Upwork can review Desktop App records when a client disputes hours. Manual entries do not have the same protection, even when the client allowed you to add them.

Client permission to use manual time is not payment protection. Upwork’s work diary guide says the client must enable manual time or approve it case by case. Its tracker guide separately says manual time is not eligible for Hourly Payment Protection.

Tracked time qualifies only when all of Upwork’s conditions are true. The current freelancer protection guide lists the contract, evidence, activity, limit, identity, billing, and account requirements together.

What the tracker records and why memos matter

Start by selecting the correct contract in the Desktop App. Enter a memo, choose an activity tag if the client provides one, then start tracking. Upwork says memos are always required. Memos and activity tags, when available, are also required for Hourly Payment Protection.

While tracking is on, screenshots are taken randomly once every ten minutes. The app records mouse clicks, scroll actions, keystrokes, and the active application or window name. It does not record what you clicked or typed. The activity meter reports active minutes within each ten minute billing segment.

A screenshot can be removed before upload or later from the work diary, but deleting it also removes that time segment’s activity. Work such as calls may have little mouse or keyboard activity and may not record as expected. Do not solve that evidence gap by assuming a manual entry will become protected. Agree on the workflow with the client before the work starts.

Review the work diary before it locks

The work diary is the review surface for screenshots, activity, memos, labels, and time segments. Upwork marks auto tracked time green, manual time light green, and time over the weekly limit red. Red time is not billable. The previous week’s diary is no longer editable after Monday at noon UTC, so review the correct contract before that cutoff.

  1. Check that every segment belongs to the correct client and task.
  2. Replace vague memos with short, specific descriptions during the allowed edit period.
  3. Use the client’s correct activity tag when one is required.
  4. Remove unrelated or accidental segments.
  5. Compare total hours with the contract’s weekly limit.

When a client asks for manual time

Ask why the tracker cannot be used. Confirm that manual time is enabled, the contract is active, the billing period is open, and the slot does not already contain tracked time. Then make the payment risk explicit in writing: the hours can be invoiced, but they are not eligible for Hourly Payment Protection.

If the reason is privacy, discuss the screenshot settings and remove sensitive material from view before tracking. If the task naturally produces low keyboard or mouse activity, agree on deliverables and documentation in advance. A client promise to approve manual time can help the working relationship, but it does not change Upwork’s protection rule.

What happens when a client disputes hourly time

Upwork’s hourly dispute guide says a dispute pauses the contract and sets its weekly limit to zero. Stop work. Do not resume until the dispute is settled and the client has restored a workable contract limit.

Open Deliver work, choose Contract history, find the contract, and select See dispute. Review the stated deadline and submit your response. Upwork’s protection overview says freelancers have three days to accept or decline. If you and the client agree on a partial return, you can issue a refund and the client may withdraw the dispute. Repeated disputes can affect Job Success Score.
